Kenya Shipyards Limited (KSL) is a State Corporation incorporated under the Companies Act, Act No. 17 of 2015, and is fully owned by the Government of Kenya through the National Treasury.

The mandate of the KSL is to lead and catalyze the development of shipbuilding industry in Eastern Africa with a focus on meeting the local demand of maritime assets and services from the Kenya Navy, Ministries, Departments & Agencies and other private domestic and regional clients.

The Board of Directors is inviting applications from qualified and experienced professionals to fill the following position(s):

KSL/HR/201/MD/11: TECHNICAL ASSISTANT – KSL GRADE 3 (1 POSITION) CONSOLIDATED SALARY KSHS 274,473.00 – 395,633.00

This is a five (5) year contract renewable subject to satisfactory performance and retirement age.

Job Purpose:
The Technical Assistant is responsible for the MD’s technical matters of the Company on a day-to-day basis in liaison with all the General Managers.

Key Responsibilities / Duties / Tasks:

Managerial / Supervisory Responsibilities:
a) Analyze and translate requirements from the MD (as director) into tangible work plan(s).
b) Develop and manage MD’s office functional integrated plans to track short-term progress and achievement of milestones through regular status reporting.
c) Collaborate with departmental heads and team members for purpose of obtaining project updates for reporting purposes.
d) Participate in active problem-solving and engagement of stakeholders with the goal of achieving progress against plans.
e) Streamline and continuously improve the flow of work between the MD’s office and all functional areas internally as well as externally for efficient and effective operations of the MD’s office.
f) Recommend processes and solutions to the MD and Senior Management team.
g) Provide support on the implementation and operationalization efforts including change management.
h) Represent the MD’s office in operational meetings as assigned.
i) Perform any other duties as assigned.

Operational Responsibilities / Tasks:
a) Follow up on behalf of the MD to ensure completion of deliverables to effectively close out projects and works.
b) Assigns tasks to the MD’s Executive Assistant aligned to communication plans.
c) Ensures content creation of MD office communication.
d) Manage and coordinate communication into and out of the Managing Directors office.
e) Plan and execute MD office events and meetings, internally and externally, working closely with Executive Assistant.
f) Identify, Document, asses, monitor and report on all dependencies, risks, issues and decisions to the MD.
g) Create and maintain documentation that includes Board papers, presentations and organizational confidential correspondences on behalf of the MD. Job Dimensions: Financial Responsibility: a) Responsible for development and utilization of the annual budget of office of the Managing Director and Board of Directors’ budget. b) Overseeing the implementation of the approved procurement plan for realization of utilization of finances at the appropriate period in line with procurement plan and for budget management. c) Facilitating international and local appointments to support missions aimed at business development.

Responsibility for physical assets around the area of work:
Responsible for physical assets assigned to the office of Managing Director, and the Board of Directors

Problem Solving:
The job holder will be required to solve the administrative problems in the office of the MD.

Communication:
The job holder will need to understand the following information to discharge his/her mandate:
a) Detailed verbal and written instructions or requests from the MD.
b) Drafting of internal or external communication, for the Office of the MD.

Decision Making/ Job Influence:
a) Makes administrative decisions that guide the day-to-day operations of the office of the MD of the Company.
b) Manages linkages, collaborations and interactions with various departments and external clients/stakeholders.

Working Conditions:
Works in an office environment with long hours of sitting.
a) Duties involve occasional travel.
b) Duties require working extra hours every day and sometimes during weekends. Job Competencies (Knowledge, Experience and Attributes/Skills):

Academic Qualifications:
a) Master’s degree from a recognized institution in any of the following fields: Finance, Economics, Engineering, Business Administration or equivalent qualification.
b) First level university degree from a recognized institution in any of the following fields: Finance, Economics, Engineering, Business Administration or equivalent qualification combined with the required work experience may be accepted in lieu of the Master’s degree.

Professional Qualifications / Membership to professional bodies:
a) Professional management certifications/qualifications as applicable.
b) Membership with relevant professional body, where applicable.
c) Undertaken Leadership/Management course from a recognized institution.
d) Proficiency in computer applications.

Previous relevant work experience required:
a) Minimum of tent (10) years of relevant work experience with demonstrated competence in work performance.
b) Experience managing/coordinating project teams in a shipbuilding industry is desirable
c) Technical knowledge in maritime systems
d) Experience in the Disciplined Services at managerial/senior command of at least 3 years an added advantage.
